Several rows may apply, but one tool need not own all of them. A template suite can improve structure while a separate editorial checker handles consistency. An authoring platform can address upstream preparation while Word remains the place where an external reviewer works.
Record the current failure before selecting a product category. “Formatting takes too long” is less useful than “every external review breaks table numbering, and the publishing coordinator repairs it manually.” The latter gives you a testable purchase requirement.

Ask for the exact commercial scope. A template library, formatting utilities, an AI feature and integration work may have different entitlements or setup requirements. Evaluate what is included in the proposal rather than assuming every item on both pages is one inseparable purchase.
Test your company's approved template, including one deliberate exception to the default style. Can the writer preserve that exception without breaking future updates? Determine who maintains local changes and how a vendor template revision is assessed before adoption.
A useful demonstration ends with a changed document, not just one created from a clean template. Insert a new section, move a table and revise the document identifier. Inspect the resulting numbering, references and metadata using the process the team would actually follow.

Include one intentional exception in the sample. For example, an abbreviation may be independently defined in a section designed to stand alone under your document rules. Ask the editor to explain and retain the exception appropriately. A tool that raises a finding is supporting a decision; it is not necessarily proving that the text is wrong.
Keep its evaluation separate from table pagination, DOCX round trips and technical publishing. A successful consistency check does not demonstrate those capabilities. Likewise, a document can be consistently worded while containing an incorrect scientific statement. Scientific and factual review remain distinct activities.
Establish a fair Word baseline
Before adding software, determine whether the current problem is caused by missing functionality, inconsistent use of existing controls, or an unsupported handoff. This requires a small observed exercise, not a general judgment that users need more training.

A practical Word import and export acceptance checklist
Use this checklist for the proposed tool configuration and the receiving review environment. Record the software versions and template revision. Preserve the untouched sample so the final result can be compared with a known starting point.
The sample should contain three heading levels, a numbered list, a cross-reference to a table, a multipage table, a footnote, one comment, one tracked insertion and one tracked deletion. Include a landscape section if that layout is part of your real workflow. Use fictional text and data approved for the evaluation.

Record pass, fail or unresolved for each row, together with the actual file or observation. “Not tested” is not a pass. If a feature is outside the agreed use, record that exclusion explicitly rather than marking it successful.
The workflow does not have to keep every element inside one application. A separately retained review record may be acceptable if the intended users can retrieve it and your process permits that arrangement. The requirement is an understood, usable handoff; do not call an exchange lossless when information has moved or changed.
Worked review case: a comment survives but loses its meaning
Consider a fictional table with a comment attached to its footnote: “Confirm whether this qualification applies to both rows.” During export, the comment text survives but its anchor moves to the table title. The file still contains the comment, yet the next reviewer can no longer tell which qualification it refers to.
A simple comment-count check would miss this problem. The reviewer should inspect the comment's text, location and unresolved status. For this exercise, success means the question remains attached to the intended footnote or is carried in an agreed record that clearly identifies it.
Now add a tracked deletion to the footnote. Ask the receiving reviewer to distinguish the proposed deletion from accepted text. If the export silently accepts the deletion, the formatting workflow has changed the review state. That is a material failure for a process requiring the reviewer to decide it.
This example explains why inspection should follow the meaning of a review item, not just count document objects. It is a proposed test case, not an observed defect in any candidate.
Verify revisions without confusing comparison and approval
A document comparison can help identify unexpected changes after processing. Microsoft documents a comparison option that normally places the differences in a third document, and describes options for text, formatting and comments. Use copies of the evaluation files and record the comparison settings. A comparison result is an aid to review, not proof that every important difference has been assessed. Inspect tables and other required elements directly as well.
Keep the output comparison separate from the authorization to accept changes. A reviewer may agree with a formatting adjustment while rejecting a content alteration. The document process should retain that distinction, particularly when cleanup operations affect many places at once.
Do not use a successful visual comparison to claim that the source remains fully editable. Test one further edit in the received file. A table rendered as an image may look correct while failing the buyer's requirement to revise its cells.

Define template ownership and exceptions
The approved template should have an identifiable owner and revision. Establish who can change shared styles, instructional text, required sections and document metadata. A vendor-maintained library does not remove the need to decide which version your team will use.
Separate template instructions from content intended for the final document. Include a check that instructional text, placeholders and unresolved drafting notes are handled before release. Do not assume that applying the template performs this review automatically.
For local exceptions, record the reason and expected behavior after an update. A wide table may require a different page layout; a particular deliverable may use a different section structure. The purpose of consistency is to make documents usable, not to erase justified differences.
Ask how updates affect existing documents. Do they change automatically, require an explicit migration, or remain tied to the original template? Evaluate the offered behavior against the team's review and release process. There is no universally correct answer independent of the intended use.

Check the final PDF as a separate output
If PDF is the agreed handoff, identify the exact source version and conversion route. Inspect the resulting page layout, text, tables, notes and navigation needed by the recipient. A correct DOCX view does not prove that its PDF conversion is correct.
Use a known difficult section from the sample: a wide table, a long heading or a footnote near a page break. Check whether the reader can follow the content without clipping, ambiguous continuation or missing qualifications.

Compare costs against recurring work
Request a proposal that identifies users, external reviewers, template setup, supported environments, maintenance, training and support. Include any separate Word, template-library, proofreading or authoring entitlements needed for the proposed arrangement.
Estimate effort using the same sample workflow before and after the change. Include setup and exception handling, not just the time required to apply a style. Record unresolved charges rather than entering zero when a mandatory component has not been quoted.
The useful economic question is whether the arrangement reduces repeated repair and review effort across your actual documents. A feature that saves time in a demonstration but requires specialist intervention for every exception may have a different operating cost than expected.

Select the arrangement that addresses the defined failure and preserves the review and handoff behavior your team needs.
