Start with Scilife when your immediate buying task is a defined document-and-training deployment. Start with SimplerQMS when a documented implementation and migration service is central to your selection. These are evaluation priorities, not evidence that either product is cheaper, faster or more compliant. The final choice depends on the actions each employee must perform, the quality processes included and the evidence your migration must retain.
This comparison is published by Assyro. We rechecked the cited vendor documentation on October 6, 2026; we have not run a hands-on benchmark or a migration between these products. The recommendations below are our interpretation of that documentation. Neither vendor's website is a substitute for a scoped proposal and demonstration.
The most useful comparison starts with one SOP change. Who can draft it, approve it, complete the resulting training and report a problem with the new procedure? A quote can cover the document repository while leaving one of those people unable to finish their assigned work.
The differences that should change your shortlist
Both products describe controlled documents within a broader quality platform. The buying decision is therefore more specific than whether either product has version control.
| Decision | Scilife evidence to examine | SimplerQMS evidence to examine | Consequence for the buyer |
|---|---|---|---|
| Initial scope | Essential packages documents and training; Core adds quality events, CAPA and change control | A user-license model with different action rights | Specify both the process scope and the people executing it |
| Document revision | Approval roles, retained intermediate versions and controlled printing | Working versus effective versions, lifecycle states and document classification | Run the same revision through both products |
| Training trigger | Document approval before publication is a documented trigger | Document updates can trigger retraining | Confirm when the exact revision becomes available for use |
| Event follow-up | Events connect with CAPA and risk assessments | Observations can be reviewed and escalated by QA | Test the reporting employee as well as the investigator |
| Migration | Custom import scripting may have a development charge | Published implementation process includes migration and baseline review | Compare the promised historical evidence, not just file counts |
Sources for these distinctions are Scilife's plan descriptions, document control, training and quality events, alongside SimplerQMS's licensing, document control, training, quality events and implementation process.
The table identifies differences in documented packaging and workflows. An item emphasized in one column does not establish that the other product lacks it. For broader requirements before comparing vendors, use our QMS document control guide.
Follow the document through its complete working life
Draft, review and approval
Scilife describes configurable author, reviewer, approver and QA roles. Its documentation says reviewers can edit, with author sign-off required again after reviewer changes, while approvers cannot edit at that stage. It also describes retained intermediate versions and barcoded tracking of printed documents. These details make it a useful candidate to examine when reviewer edits and physical controlled copies are important. Scilife document control.
SimplerQMS describes documents moving through draft, review, approval, effective, update and retirement states. Its document page distinguishes working copies from effective versions and describes Word-based editing, classification properties and permissions for viewing, editing, reviewing and approving. SimplerQMS document control.
Give each vendor the same sample: an effective cleaning SOP, a proposed revision and a review comment that changes an instruction. Ask the reviewer to change the draft after an earlier approval. Observe what becomes invalid, who must sign again and what an operator sees during the revision.
Your acceptance result should name the version, not merely say “approval worked.” For example: the operator still retrieves the currently effective revision; the changed draft returns to the required reviewers; the resulting record explains who approved the final content. If your procedure requires a different sequence, document that requirement before the demonstration.
Do the same for a downloaded or printed copy. The repository's current version does not prove that a copy already on a bench was recalled. Decide whether your deployment needs printed-copy accountability, whether a separate procedure covers it, and how the replacement product will support that procedure.
Training before the revised procedure takes effect
Scilife's training documentation describes assignments by job function, individual exceptions, assessments and progress reporting. It says the approved-but-unpublished document state triggers training or retraining by default. Read-only users can be assigned training; training administration requires an eligible training supervisor. Scilife training management.
SimplerQMS describes document-linked training rules, scheduled retraining, reminders and electronically recorded completion. Its training page also describes triggering retraining when documents change. That establishes a relevant capability, but the page does not settle your configuration's precise relationship between approval, training and the effective date. SimplerQMS training management.
The difference matters when a procedure must not be used until the affected employees have completed training. Ask both vendors to demonstrate three people: one already trained on the prior revision, one newly assigned to the role and one overdue. Then change the document's effective date.
Record whether each person receives the correct assignment and which revision the completion record identifies. Check the overdue exception separately: a dashboard warning and a prevention control are different outcomes. Select the one your procedure requires. Do not infer that either product automatically blocks every operational activity merely because it tracks training.
From an observation to a controlled change
Scilife describes quality-event tracking connected to CAPA and risk assessment. SimplerQMS describes an observation intake where QA decides the next step, with escalation into investigations or CAPA and links to related quality records. These are vendor descriptions of the event workflow, not proof of your proposed permissions. Scilife quality events, SimplerQMS quality events.
Use an event caused by an unclear instruction in the sample SOP. The operator reports what happened, QA classifies the issue, an owner investigates and the conclusion leads to a document change and retraining. The comparison should preserve the link back to the original event without requiring the operator to become the CAPA owner.
A demo performed entirely by an administrator does not answer this question. Have the vendor switch into each proposed role. If the operator can report the event only with a higher license, capture the commercial consequence. If an external investigator can see unrelated confidential records, the proposed access configuration fails even if the workflow completes.
Resolve license names before comparing prices
“Read-only” is not a portable permission definition. Scilife allows assigned-training sign-off for read-only users but excludes document approval and event creation. SimplerQMS Viewer permits viewing without signing; Light includes training completion, electronic signatures and observations. Full includes administration. Scilife licensing FAQ, SimplerQMS license descriptions.
There is also an unresolved public wording issue: SimplerQMS's Standard card lists Document Control, Change Control and two additional modules; its FAQ describes Document Control plus two selectable modules. Obtain written confirmation of whether Change Control consumes a selection. Do not resolve that inconsistency by assuming the broader entitlement. SimplerQMS Standard description and FAQ.
The operational consequence is simple: price named actions, not titles such as “occasional user.” A production employee might rarely open the system yet need to sign training every time a procedure changes. A consultant might need to read a restricted record set today and investigate an event next month. Those are separate permission requirements.
Keep license entitlement separate from configuration. Buying access to a function does not mean every person should be granted it. Conversely, a configured role cannot create a contractual entitlement that the organization has not purchased.
Copy this role-and-action procurement worksheet
Use one copy per candidate and proposal version. The quantities below are an illustrative workload, not a recommendation about staffing or either vendor's minimum contract. All rows are mandatory for this example; remove a row only by explicitly changing the scope.
| Cohort | Unique people | Required actions | Evidence to request |
|---|---|---|---|
| Operators | 40 | Read effective SOPs, complete training, report an observation | Each action demonstrated using the quoted operator entitlement |
| Document specialists | 3 | Draft, revise, route and retire documents | Exact module and role permissions, including rejected changes |
| Quality owners | 2 | Approve documents, manage events, supervise training | Cross-module workflow and segregation of responsibilities |
| System administrator | 1 | Maintain accounts, permissions and configuration | Administration rights and audit history |
| External auditors | 4 | Read only a selected evidence set | Restricted access, expiry and attempted access outside the set |
This represents 46 internal people and four external people. Do not add everyone again as a training user: the specialist, quality and administrator cohorts also require their own applicable training. If one person holds two responsibilities, count that person once and assign an entitlement that covers both.
Check the count against a named roster before asking for a quote. In a variation of this fictional example, the sole administrator is already one of the two quality owners. The workload then contains 45 unique internal people and four external people: 49 in total, not 50. Keep all required actions for that person, including administration; removing a duplicate seat must not remove a responsibility. If the roster does not establish whether those roles overlap, the count is unresolved. Procurement should ask the account owner to reconcile identities rather than silently choose the lower number. These are people counts, not claims that every identity incurs the same license fee.
Under the cohort table, complete the following decision record. “To confirm” is a valid working answer; it is not a passing answer.
| Field | What to enter |
|---|---|
| Proposal identity | Vendor, exact product, plan, term, currency, proposal date and expiry |
| Entitlement mapping | Each cohort's proposed license, enabled modules, restrictions and number of people |
| Document test | Sample ID, old/new versions, approval sequence, effective-state result and evidence location |
| Training test | Trigger, affected population, overdue behavior and revision recorded on completion |
| Event test | Reporter, classifier, investigator, linked change and resulting retraining |
| Migration test | Source record, retained history, target record, exception and reconciliation outcome |
| Commercial scope | Annual subscription, one-time services, included work, exclusions and renewal terms |
| Decision | Pass, fail or unresolved for every mandatory requirement; owner and deadline for unresolved items |
Use three rules to reach a decision. First, mark a requirement as passed only when the evidence applies to the proposed edition, entitlement and configuration. Second, any failed mandatory requirement makes that proposal ineligible until corrected. Third, an unknown mandatory requirement keeps the decision unresolved, regardless of its apparent price.
An ordinary passing exercise would have every cohort complete its stated tasks, preserve the document-to-training relationship, restrict the auditor correctly and reconcile the migration sample. That establishes functional eligibility for the agreed sample. It does not establish performance at every future scale or complete your organization's validation work.
For a failure case, assign the operators a view-only entitlement and demonstrate that they cannot submit the required observation. The proposal fails the operator row even if they can read every SOP. Correct the entitlement and requote the same population; do not quietly remove event reporting from the comparison.
For an unknown case, suppose a specialist needs three process areas and the vendor's module-counting answer conflicts with the order form. Leave that cohort unresolved. A salesperson's verbal assurance does not make two contradictory documents consistent. Ask for a corrected entitlement schedule that both the commercial and implementation teams will use.
Two scenarios that lead to different evaluation priorities
Scenario A: a focused document-and-training launch
A small biotech has a limited SOP set, a few authors and many employees who mostly read procedures and complete training. Quality-event reporting will remain in an established, separately controlled process during this phase. The buyer wants the first deployment to have an explicit boundary and does not want to redesign that event process yet.
Evaluate Scilife first. Its documented starting package and learner permissions make this a coherent scope to investigate. The recommendation is about matching the first phase to a described configuration, not a claim that Scilife has the lower total cost. Ask for the quoted learner population, document workflow and evidence export before selecting it.
Change one condition: every learner must now initiate events in the new system. The earlier narrow comparison no longer answers the buying task. Reopen both the plan and user-entitlement mapping, price the expanded scope and rerun the operator test. The original recommendation should not survive merely because the vendor demo was appealing.
Scenario B: migration and process adoption dominate
A device company is replacing shared drives and several quality trackers. It needs a coordinated migration, role configuration and coached adoption, with a small internal team responsible for the rollout. It is willing to standardize its procedures where the resulting workflow meets its requirements.
Evaluate SimplerQMS first. Its published implementation process specifically covers needs analysis, configuration, instructor-led training and migration. It also describes reviewing and approving relevant migrated documents to establish a baseline. That documented delivery approach is a useful starting point for a buyer whose main constraint is organizing the transition. SimplerQMS implementation.
This preference changes if the company requires historical approvals to remain queryable in their original context, while the proposed migration covers only current files and a new baseline. Neither a services bundle nor a new approval recreates missing historical evidence. Require an acceptable retained archive or a demonstrated historical migration before selecting either vendor.
The two scenarios are deliberately different. A narrow scope may simplify a first phase, while a broader transition may justify a different delivery model. Neither result establishes a universal winner for life sciences.
Compare implementation costs without manufacturing a price gap
SimplerQMS lists a minimum of USD 17,500 per year for up to 15 users, with recurring annual, per-user pricing and a stated services bundle. That is a published starting scope, not a quote for the worksheet population. Scilife directs buyers to request pricing. Public evidence therefore does not establish which will cost your organization less. SimplerQMS pricing, Scilife pricing.
Request both proposals against the same population and term. Record software, supplier services, internal labor, retained archive costs and any overlap with the outgoing system separately. A service included in the subscription must not be added again as a one-time supplier charge; internal review and reconciliation work still needs an owner and budget.
Scilife's document FAQ notes that an automated import script can incur development charges depending on complexity. SimplerQMS's implementation description includes establishing a migrated document baseline. Neither statement settles what happens to every legacy signature, event relationship or training record in your source system. Scilife migration FAQ, SimplerQMS migration process.
Make the migration sample deliberately awkward: include a superseded SOP, a historical approval, an employee who has left and an event linked to an old revision. Ask how each item will remain accessible, who will reconcile it and how unresolved exceptions prevent cutover. Also identify the party responsible for exporting data if you later leave the new vendor.
For validation planning, obtain the vendor's documentation package and identify your intended-use evidence, configuration decisions, access controls and acceptance responsibilities. Vendor assistance is relevant commercial scope; it does not remove the need to decide whether the delivered system supports your own process. Our QMS software cost guide provides a broader budgeting framework.
Choose against the work you will actually run
Select the candidate that passes the mandatory workflow and migration requirements, then compare its complete contracted cost with the other eligible proposal. If only one passes, document why the other failed. If neither passes, resolve the missing requirement or revisit the scope before signing.
One final boundary matters for regulatory teams: selecting a QMS does not by itself resolve submission preparation, regulatory information management or publishing. Assign ownership of the approved quality record and identify how a specific version will be handed to the regulatory process. Our QMS versus RIM comparison explains that separation.
If the unresolved task is preparing or reviewing regulatory documents downstream of your quality system, contact Assyro with that defined workflow. Evaluate its current suitability separately from this QMS selection, while keeping the approved source record and quality-process ownership explicit.
