Evaluate SimplerQMS first when working directly in Microsoft Office and obtaining a bundled implementation service are central requirements. Evaluate Qualio first when its in-app document approach and edit/basic-user model match the way your quality team and wider workforce operate. Neither is an automatic cost winner: compare the actual role mix, implementation scope and recurring commitments in written proposals.
This comparison is for US life sciences teams choosing document control, approval and training workflows within an electronic quality management system. It uses vendor product documentation, help articles and public pricing, not hands-on testing or private quotations. Assyro publishes the guide. The decision tools and hypothetical examples below are editorial resources, not measured customer outcomes.
Compare the operating model before the price
Both candidates belong in a quality-document evaluation. The meaningful question is how your actual documents, reviewers and learners move through the proposed configuration. Avoid scoring a product merely because its feature list contains the words “documents” and “training.”
| Decision area | SimplerQMS evaluation | Qualio evaluation | Evidence that should decide |
|---|---|---|---|
| Authoring | Vendor describes editing through Microsoft Office integration | Vendor describes uploaded documents and native in-app editing | Your source file retains required content and remains controllable through revision |
| User model | Multiple license types separate viewing, participation and broader control | Commercial edit/basic labels sit alongside documented application roles | Each real task can be performed by the role and entitlement actually quoted |
| Training | Document-linked assignment and retraining are documented | Read-and-acknowledge and assessment-based training are documented | Revised-document training reaches the right users and yields the required evidence |
| Migration | Supplier describes implementation/data-import support | Supplier documents onboarding migration and a separate post-onboarding import route | Content, status and historical evidence survive the chosen route |
| Commercial comparison | Confirm the exact included services and role mix | Confirm plan, edit-user count, implementation charge and add-ons | A written, like-for-like scope rather than a calculated average seat price |
The product and licensing sources for these distinctions are linked in the sections below. No row represents a completed product acceptance test.
Document authoring: preserve the work, not just the file
SimplerQMS states that its quality-document solution integrates with Microsoft Office 365 and SharePoint Online, allowing work in Word, Excel and PowerPoint. It also describes scheduled review tasks and document access controls. This is a reason to investigate fit when existing controlled templates depend heavily on Office applications. It does not prove that every macro, field, embedded object or formatting feature in your document set will behave as required. SimplerQMS quality-document management.
Qualio's document-management material describes a hybrid approach: original-format uploads alongside a native in-app editor, with OneDrive-related document handling also presented. That means the comparison is more nuanced than “Office versus no Office.” Decide which files would remain uploads and which would become editable Qualio documents. Confirm current availability and the proposed integration scope during evaluation. Qualio document-management product guide.
Use the same representative set for both demonstrations: an SOP with tables, a form with fields, a technical attachment and an older approved revision. Ask an author to make a realistic change, a reviewer to assess it and a normal reader to retrieve the appropriate released version. Inspect the resulting document, not merely the editor's toolbar.
If preserving a particular Office workflow is mandatory, define that requirement explicitly. If the team is willing to change its templates to gain a different authoring process, budget the conversion and review work. Neither keeping an original file nor converting it to a new format establishes that the content remains correct. Your acceptance evidence should identify any deliberate transformation and confirm its result.
Approval rights are not the same as a paid seat
A headcount estimate is insufficient when people perform different tasks. List who authors, reviews, approves, manages training, completes training and administers the system. One person can hold several responsibilities, but each required operation needs a supported role and entitlement.
SimplerQMS currently names four license types: Viewer, Light, Standard and Full. Viewer is described as read-only; Light adds participation such as signing and completing training; Standard covers document control and selected modules; Full covers broader modules and administration. Its Standard card and FAQ describe module allocation differently, so obtain written confirmation of how Change Control and selectable modules are counted. SimplerQMS pricing and licenses.
Qualio's pricing page uses Edit Users and Basic Users. Its permissions documentation separately names Basic, Normal and Quality application roles, with additional administrative permissions. Do not equate a commercial label with a particular permission set without confirming the mapping. Notably, the documented Basic role can complete training; it should not be described simply as a read-only viewer. Qualio user permissions.
Copy this role-planning table and replace the counts before requesting quotes. The counts are a fictional example, not either vendor's recommended configuration.
| Buyer group | Example people | Required work | Supplier must confirm |
|---|---|---|---|
| Quality owners | 2 | Manage templates, approve documents and oversee training | Application role, administrative permissions and commercial license |
| Other authors | 3 | Create drafts and respond to review | Editing rights, ownership restrictions and included seat count |
| Workforce learners | 60 | Read assigned procedures and complete required training | Training/signing rights and any paid participation license |
| External observers | 10 | Retrieve explicitly shared evidence without changing it | Read-only access, isolation and account terms |
Test a denied operation too. A learner should not gain document-editing authority merely because training uses an electronic sign-off. Equally, an author should not be counted as a free observer to make the budget appear smaller. When the task mix changes, recalculate the licenses before comparing totals.
Training: compare revision handling and retained evidence
SimplerQMS describes training connected to document control and change management, including retraining when documents are updated, reminders and completion tracking. These are relevant capabilities for a workforce trained against controlled SOPs. Demonstrate the configured rule that decides when a revision triggers retraining rather than treating every textual edit as having the same impact. SimplerQMS training management.
Qualio's trainee instructions distinguish read-and-acknowledge training from training assessments. They also describe reviewing changes and retrieving training history. A useful boundary appears in its export guidance: an individual training export does not display unassigned, uncompleted training. If that history matters to your investigation or oversight process, determine where it will be available rather than assuming one export answers every question. Qualio: complete training.
For both systems, demonstrate two revisions of one SOP. First make a change for which the organization's approved rule requires retraining. Then use a change for which it does not. The system and procedure together should preserve the appropriate decision, applicable revision and completion evidence. Also show a reassigned worker and an overdue assignment.
These are proposed acceptance cases, not proof that either system succeeds or fails them. The buyer should define what “trained” means for the task. Reading an SOP, passing a knowledge assessment and demonstrating competence are not interchangeable business outcomes. Include the evidence your process actually requires and the work that remains outside the software.
For a concrete fictional check, SOP-022 revision 1 has two learners, L-01 and L-02, both complete. The quality owner's documented assessment says revision 2 requires both to retrain. In the evaluation record, L-01 has completed revision 2 while L-02 has no demonstrated revision-2 assignment. The correct conclusion is one completion and one unresolved training obligation, not two trained learners. Ask the training owner to reconcile the missing assignment and retain the revision-1 completions as history. If the demonstration shows that the configured rule deliberately omitted L-02 despite the agreed scope, that behavior is Fail; if the assignment has simply not been shown, it is Unknown. An undated “100% trained” dashboard cannot resolve the distinction.
Implementation and migration: distinguish supplier help from buyer work
SimplerQMS describes an implementation program with a dedicated onboarding role, configuration, training and import of existing documentation where applicable. Ask for a scoped delivery plan showing which source formats, history and exceptions are covered. A service inclusion is useful, but “migration included” is not a specification for every legacy record. SimplerQMS customer success program.
Qualio's implementation guide describes a staged onboarding process. Its migration guide explains preparation of templates, assignment of owners and approvers, and supplier/customer work during migration. The same guide distinguishes later bulk imports, which create draft documents, from the managed onboarding process. It also distinguishes editable sources from uploaded PDFs and flags restrictions around locked files. Qualio implementation guide, Qualio migration overview.
Decide in advance whether an older approval remains in a retained archive, accompanies the migrated record or is represented through another assessed method. A new approval in the target system is a new event; it should not silently stand in for historical evidence. Trial the actual preservation route before committing to cutover.
The buyer still supplies document ownership, intended workflows, acceptance criteria and decisions about exceptions. Supplier validation material can support your assessment, but it does not make those decisions for you. For planning that work, use the computerized-system validation guide.
What the public pricing does and does not establish
Public terms below were checked on October 6, 2026. Obtain a current written proposal before making a purchasing decision; the page descriptions are not your executed contract.
| Public commercial item | SimplerQMS | Qualio |
|---|---|---|
| Entry structure | Starter: USD 17,500 annual minimum, up to 15 users | Foundation: 5 edit users; Growth: 10 edit users; both list unlimited basic users |
| Published price | A minimum, with the actual quote dependent on users and license types | Tailored quote; no public subscription amount used here |
| Supplier implementation | Listed as included, alongside migration, validation, user training, hosting and support | Pricing page states an implementation fee applies to all plans |
| Expansion | Confirm the required license mix and modules | Additional edit users incur a fee; confirm all required add-ons |
Sources: SimplerQMS commercial terms and Qualio plans and pricing. Included services remain subject to the defined scope; buyer labor is a different cost.
Do not divide the published minimum by a user count and call the result a seat price. A package floor does not establish how extra users, different roles or a larger organization are priced. Similarly, unlimited basic-user availability does not establish that all required authors, approvers or administrators can use that category.
This evidence supports a comparison method, not a cheaper-product verdict. Different proposals may package similar work in different lines. Adding a generic implementation allowance to a subscription that already includes that supplier work can double-count it. Leaving a required but unquoted fee at zero understates the other proposal.
Normalize both quotes with this worksheet
First fix the comparison basis: USD, the same 12-month service period, the same role roster, document workload and required modules. Ask whether taxes, travel, integrations and future renewal changes are included. Keep currency conversion separate if a supplier quotes in another currency; record its rate and date.
Copy the table and complete a separate supplier/evidence column for each candidate. Every monetary amount needs its unit and period. If a requirement is not in scope, record an approved reason rather than leaving it blank.
| Cost line | Record for each proposal | Counting rule |
|---|---|---|
| Base subscription | Quote reference, plan, annual amount and included scope | Count once |
| Extra users/licenses | Role, quantity, unit rate, term and whether already bundled | Add only incremental amounts |
| Required modules/instances | Named feature, quantity and confirmed entitlement | Add only excluded, quoted charges |
| Supplier implementation | Included / separately priced / unknown; delivery statement | Included means zero incremental charge, not zero work |
| Supplier migration | Source volume, formats, historical scope and fee status | Avoid adding work already inside implementation |
| Validation support | Supplier deliverables and price status | Separate supplier material from buyer assessment work |
| Buyer project effort | Named roles, estimated hours and loaded hourly cost | Count retained internal effort separately |
| Continuing administration | Annual hours/cost or contracted service | Include for the same period in each proposal |
| Legacy overlap/exit | Access period, retained archive and export assistance | Include required transition/exit commitments |
Use four status values: Included, Separately priced, Unknown and Not applicable. Included requires a quote or statement-of-work reference covering that precise task. Not applicable requires an approved scope rationale. Unknown is an unresolved cost, not a zero-dollar entry.
Calculate year-one total = base subscription + incremental licenses/modules + separately priced supplier work + buyer effort + continuing administration + required transition costs. Count each deliverable once. Calculate year two separately, removing genuinely one-time costs and applying the actual renewal assumptions. Do not carry a migration fee forward automatically or assume a renewal price is unchanged without evidence.
Worked example: two ways to get the wrong answer
The following figures are invented procurement arithmetic, not SimplerQMS or Qualio quotations. Both examples use USD for one year and exclude taxes.
Illustrative Proposal A: annual subscription is $24,000 and its written scope includes the required supplier implementation and migration. The buyer estimates 50 internal hours at $100/hour, or $5,000. No other incremental costs are assumed for this limited example. Year one is $29,000. Adding another $3,000 “implementation allowance” for the same included supplier work would incorrectly produce $32,000.
Illustrative Proposal B: annual subscription is $18,000, buyer effort is the same $5,000, and required implementation has not been priced. Its known subtotal is $23,000 plus the unresolved fee. It is not a $23,000 total and cannot be declared cheaper. If the eventual fee is $8,000, this limited example becomes $31,000; if it is $4,000, it becomes $27,000. The missing input can reverse the result.
The break-even implementation fee in this deliberately limited example is $6,000: $23,000 + $6,000 equals Proposal A's $29,000. A fee below that changes the arithmetic in B's favor only if all other stated assumptions remain equal. An unquoted required integration or archive charge invalidates that comparison until it is added to the appropriate proposal.
Before treating even a complete cost comparison as decisive, confirm that both proposals pass the mandatory workflow requirements. A low price for a configuration that cannot perform the task is not a qualifying alternative.
Two buyer scenarios that favor different evaluations
Office-centered authors with a defined migration workload
A quality team has twelve active authors working with established Word and Excel templates. It wants to retain those editing workflows and obtain a clearly bounded supplier-led implementation. Most procurement uncertainty concerns source-format handling and the division of migration work.
Start the workflow evaluation with SimplerQMS, because its documented Office approach matches the stated priority. Require the actual templates to pass the revision, approval and retrieval exercise. Price the real role mix rather than applying a published package minimum to an assumed headcount.
The recommendation changes if required document features do not survive the proposed workflow or the implementation scope excludes essential work. Qualio remains a candidate if its upload/editing route meets the same criteria and the buyer accepts any template changes. No product wins from the scenario alone.
A small editing group with a much larger training audience
A biotech has five people who create or manage quality documents and sixty workforce learners. It prefers to evaluate an in-app document process and needs learners to complete assigned training without becoming authors. Its existing source set is suitable for a planned conversion and approval process.
Start the evaluation with Qualio, because its documented commercial and application-role distinction is relevant to that task mix. Confirm which of the five people need Quality versus other permissions and how those roles map to the quote. Test the learner's permitted training action and denied editing action separately.
This is not a finding that Qualio is cheaper. If required approval rights, migration or other modules expand the quote materially, compare the confirmed SimplerQMS role mix again. If a required source document cannot be handled as planned, reconsider the workflow before negotiating price.
End the demonstration with an evidence record
For each candidate, record configuration, requirement, evidence, Pass/Fail/Unknown/N/A, owner and next action. Make these checks mandatory where they belong in your approved scope:
| Check | Successful result | Failure or unknown to catch |
|---|---|---|
| Representative source | Required content survives the chosen editing/migration route | Only a simple template is shown; complex source remains untested |
| Role separation | Author, approver and learner can perform their permitted work | Quoted role cannot approve, or learner can edit restricted content |
| Revised-document training | Assignment and completion identify the relevant revision | Old completion is mistaken for evidence of new training |
| Historical retrieval | Earlier record and original approval evidence remain accessible | A new target approval is substituted for missing history |
| Quote coverage | Every mandatory dependency has a documented entitlement and cost status | A required fee or role is marked zero without evidence |
Select on demonstrated workflow fit and a complete commercial scope. If quality documents also feed a separate regulatory submission process, assess that handoff independently; an eQMS decision does not establish publishing fit. The QMS versus RIM guide explains those ownership boundaries. For a related Assyro evaluation, bring the specific document-to-regulatory task to a discussion rather than assuming a quality-system replacement is necessary.
