Start by evaluating Assyro when your problem is a bounded regulatory-document preparation or submission handoff. For replacement of QualityDocs as the quality-document system of record, evaluate SimplerQMS Document Control, Qualio Document Management and Ennov Quality Documents against your actual workflows. Assyro is not established here as a complete QualityDocs replacement. Keeping QualityDocs, including examining the Veeva Basics offering, belongs in the same decision.
Assyro publishes this guide and is listed first as our editorial evaluation preference for that narrow use case. The comparison is documentary research using primary sources checked October 6, 2026. We have not run a product trial or migrated a customer's QualityDocs repository into these systems. Vendor-described features establish candidates for evaluation; they do not establish migration compatibility.
For a small biotech, the useful question is not which product has the longest feature list. It is which arrangement lets your team maintain the necessary document controls with an operating workload it can actually support. A lower subscription price can still produce an unsuitable replacement if training records, historical approvals or outside collaborators fall out of scope.

The candidate profiles below link the evidence behind these scopes. None of the rows certifies that an export from your particular Vault can be imported completely. An unresolved mandatory function remains a selection blocker even if the rest of a demonstration looks convincing.
Establish the QualityDocs boundary first
Veeva describes QualityDocs as regulated quality-content management covering the content lifecycle and collaboration with internal and external participants. It names procedures, policies, work instructions, quality agreements and batch-related documentation as examples. Those are the records this comparison starts from. Veeva QualityDocs.
Do not expand the assignment to every application with a Veeva login. QualityDocs, QMS, Training, regulatory submissions and trial master files have different jobs. Veeva's Basics portfolio itself lists QualityDocs, Training, QMS and LIMS separately from its regulatory and clinical applications. Veeva Basics application portfolio.
Write a one-page scope statement before asking for alternatives:
- Replace: name the document types, lifecycle states and workflows that will leave QualityDocs.
- Retain: name the systems that will continue to own training, quality events, regulatory submissions or trial records.
- Connect: list the handoffs that must still work, including outside reviewers and any documents shared across applications.
- Preserve: identify historical content, approvals and contextual records that must remain retrievable.
For example, “move SOPs and controlled forms while keeping the current training application” is a bounded replacement. “Replace Veeva” is not. An eTMF requirement needs a clinical-record evaluation; an eCTD publishing requirement needs a publisher evaluation. A generic document upload does not demonstrate either.
The QMS document-control guide provides broader context for the quality-record boundary. Here the deliverable is a replacement decision and an acceptance record, rather than another inventory of generic EDMS features.
Assyro: evaluate the regulatory-document task without assuming a full replacement
Assyro is our first recommendation to evaluate when the frustration sits between document preparation and submission work. Its public document-management offering is positioned around regulatory documents and submission context. That makes it relevant to a bounded workflow discussion; it does not establish equivalence to every QualityDocs configuration, quality process or training arrangement. Consider a virtual biotech whose controlled SOPs already work satisfactorily in QualityDocs, but whose regulatory team assembles working documents elsewhere. Moving all quality records to solve that second problem could add an unnecessary migration. A narrower evaluation asks whether Assyro can perform the required preparation or review task and hand the correct artifact back to the retained system.
Give the team a permitted source document with an explicit document ID and version. Ask it to demonstrate the proposed work, identify the resulting artifact and explain who reviews it before it becomes controlled. Confirm the actual deployed capabilities, formats and entitlements in the proposal. Do not treat a roadmap commitment or a product-page description as evidence that your entire workflow is available.
The important limit is the system-of-record decision. This comparison does not establish Assyro as a replacement for historical QualityDocs approvals, training records, controlled-print distribution, every electronic-signature workflow or connected quality-event processes. It also does not establish a native, lossless QualityDocs migration or connector. Those are separate acceptance requirements, not implied benefits of buying document software.
Shortlist Assyro for the narrow task if its demonstration meets your criteria while the quality-document boundary remains controlled. If the procurement requirement is complete QualityDocs retirement, keep the candidate unresolved until the full preservation worksheet below passes. A partial improvement can be valuable without being mislabeled a complete replacement.
SimplerQMS Document Control: evaluate an integrated quality workflow
SimplerQMS documents version history, role-based access, document classification and Microsoft Word editing within its document-control workflow. It describes Document Control as part of an integrated life-sciences eQMS, rather than an isolated file repository. That makes it a candidate when the replacement requirement connects documents with surrounding quality processes. SimplerQMS Document Control.
The purchasing distinction is scope. A biotech seeking one environment for document changes and related quality work should compare the resulting operating process, not only the upload screen. A team retaining separate quality applications should examine whether it is buying functionality it does not need and whether the retained handoffs are practical. Integration into a suite can simplify some ownership decisions while making the scope of the purchase broader.
Its pricing page distinguishes Viewer, Light, Standard and Full licenses. It also describes included implementation, migration, validation services and training under its subscription model. Those are useful commercial differences, but the proposal must explain which user mix and service boundaries apply to your company. “Migration included” is not a verified promise to preserve every item in a QualityDocs export. Use one approved SOP and its next draft as the demonstration case. Have an author revise it in the intended authoring tool, a different authorized person review it, and the team explain the effect on assigned training. Include an occasional external collaborator so the access and licensing assumptions become visible.
The migration question remains independent: where do the old versions, approval details and source audit history live after import? Require a record-level mapping and retrieval demonstration. This guide has not verified direct QualityDocs import compatibility. The candidate becomes a viable replacement only when the offered configuration, services and customer responsibilities jointly meet the defined scope.
Qualio Document Management: examine content behavior as well as controls
Qualio describes document creation in its own editor, file uploads and OneDrive synchronization, alongside version control, permissions and document workflows. These give a small biotech several possible ways to manage content, but also create a practical evaluation question: which authoring path will your actual documents use? Qualio Document Management.
An SOP with simple text and a few tables may behave differently from a heavily formatted controlled template or a document with embedded objects. Do not infer that a successful plain-text demonstration establishes fidelity for the whole repository. Bring representative files and determine whether they will remain uploaded files, be converted into the editor, or be maintained through another supported route. Record what remains editable and what the reviewer sees.
The commercial boundary also matters. Qualio's pricing page distinguishes edit users and basic users, includes an implementation fee across plans, and lists additional edit users and multiple instances as chargeable additions. Confirm the rights needed by contractors and partner reviewers; a person who reads a document is not necessarily licensed to change it. Qualio plans and pricing.
For a useful demonstration, import a representative document, update it through the proposed authoring route, complete an approval and retrieve the previous approved version. Then have a second participant attempt an action outside their permission. Ask the vendor to show the resulting records and the offered export, rather than stopping at the on-screen approval message.
Qualio belongs on the shortlist when its document workflow fits the team's broader quality-management arrangement. The material unknown is the treatment of your existing QualityDocs history and relationships. A new document lifecycle working correctly does not prove that old signatures, version associations or training links have migrated. Keep that question open until the supplier provides evidence using the agreed sample.
Ennov Quality Documents: evaluate the document model and configuration ownership
Ennov Quality Documents describes configurable document lifecycles, metadata-based search, periodic review, controlled printing and electronic-signature manifestations. These are relevant when a biotech wants to preserve a defined quality-document model, rather than merely move files into a simpler folder structure. Ennov Quality Documents.
The distinction is particularly useful for a company with multiple document categories, site-specific applicability or a growing manufacturing network. Ask whether the proposed configuration represents those relationships directly, how an administrator changes them, and what evidence is produced when an approved process changes. Configurability should be evaluated as a responsibility as well as a feature.
Ennov's underlying Document platform describes metadata and document history, configurable approval workflows and migration services for larger imports. It also describes links to other Ennov modules. None of that establishes that those additional modules or every required interface are included in a Quality Documents proposal. Give the demonstration team two similarly named SOPs that apply to different sites, plus one superseded version. Have a normal user find the currently applicable procedure using the metadata model. Then test a periodic review and a controlled-copy request where those functions belong to your requirements. The successful outcome is the right record with its context, not simply a search result with a familiar filename.
Request a configuration inventory, named administration owner, implementation scope and migration acceptance plan with the quote. This review does not establish Ennov's cost for your workload or a direct QualityDocs migration path. If a small team cannot maintain the proposed configuration without ongoing services, include those services explicitly in the decision. Conversely, do not reject a configurable platform solely because the company is small: the complexity of its records can matter more than headcount.
When staying with Veeva is the better decision
The case for staying deserves an actual evaluation. Veeva currently offers QualityDocs Basics for emerging biotech, alongside other preconfigured applications. Its public Basics page describes vendor-managed updates, available validation packages and a path to full Vault. Therefore, “Veeva is only for large enterprises” is not a sound reason to switch. Confirm eligibility, commercial terms and the available configuration for your company. Veeva Basics.
Basics is not automatically a conversion path for an existing customized Vault. Ask Veeva to assess the current configuration and explain the applicable options. A product aimed at emerging biotech does not establish that your existing instance can change plans without work.
Consider a fictional 30-person biotech with approved documents, functioning training handoffs and several years of historical records. Its main complaint is that new document types take too long to configure. Before migrating, compare a bounded configuration-and-support change with the full replacement project. The existing system may remain the better choice if the new arrangement solves the complaint while preserving working processes.
A different fictional company may find that its required workflow can be served with a simpler proposed setup, and may have only a small, well-understood record set to move. Replacement could then be reasonable—but the decision follows demonstrated fit and switching effort, not a claim that one brand is intrinsically too complex.
Keep Veeva when the alternatives cannot demonstrate a mandatory control, when history cannot yet be preserved or when a critical operational window leaves insufficient time for a verified change. Those are reasons to defer a switch, not reasons to abandon evaluation permanently.
Preserve the signed record, not just the PDF
Migration should be evaluated at the level of a document and its context. Current source files alone may not answer which version was effective, who approved it, what changed or where a related training record resides.
Veeva's general-release help describes exports of audit logs in CSV, text or PDF, with availability affected by configuration. Document audit history includes fields such as timestamp, user, document number, changed values and signature meaning. The documentation describes an export capability; it does not establish that another product imports the result as native history. Veeva audit-log export documentation.
Where FDA Part 11 applies, signature preservation is substantive. Section 11.50 requires the signer's name, execution date and time, and signature meaning, including in human-readable forms of the electronic record. Section 11.70 requires linkage between signatures and their records to prevent ordinary means of falsifying that association. An isolated signature image is not a substitute for assessing those requirements. 21 CFR 11.50, 21 CFR 11.70.
Decide with your quality and records owners whether historical evidence will become supported target-system records, remain in an accessible controlled archive, or require another justified arrangement. Do not relabel a migration administrator's import event as the original approval. Record source timestamps and their time-zone meaning rather than silently rewriting them as new activity.
Retain the source environment or another accepted retrieval arrangement until the defined reconciliation and acceptance work is complete. An export button and matching file counts are useful starting evidence; they do not by themselves establish preserved history, usable retrieval or correct relationships.

This is an editorial evaluation resource, not an agency form or a claim that one sample validates an entire system. Copy the rows and add required or optional, business owner, evidence reference, result and corrective action. Results are Pass, Fail or Unresolved. A mandatory Fail or Unresolved blocks that candidate for the proposed scope.

Apply the worksheet to a switching decision
Take a fictional SOP-014, revision 3, with revision 2 retained, two recorded approvals and a pending revision 4. The current SOP is required by two departments; one external partner may read it but cannot approve it. This is a test design, not a reported product result.
First obtain the permitted source artifacts, metadata and historical evidence. In the proposed arrangement, identify where revision 3 lives, how revision 2 is retrieved and what happens to the pending revision. Then have the external participant attempt an approval. Record both permitted retrieval and refused action, together with the configuration and license used.
A successful exercise would show the agreed content and evidence, correct associations, and enforced access boundaries. It would support that bounded requirement for the tested configuration. It would not prove every document class, integration or migration batch is ready.
Now introduce a boundary case: the delivered package lacks a signature's meaning, and the target displays only an import timestamp. If that package is the proposed complete historical record, mark historical approval preservation Fail. It demonstrably lacks an agreed required field. If a separate source archive is part of the proposal but has not yet been inspected, the overall preservation arrangement remains Unresolved. A polished new approval workflow cannot compensate for either gap. Investigate whether the missing evidence can be obtained from the source and retained under the agreed record strategy; repeat the retrieval exercise after correction.
Keep a compact reconciliation record for this fictional sample:

The quality owner closes the history exception after inspecting the corrected record or accepted archive; the document owner accounts for the pending draft; the access owner repeats the external-user check. Three visible filenames alone cannot close any of those exceptions. Retain the original failed evidence alongside the correction so the acceptance record explains what changed.
If the team only needs Assyro for a separate preparation step, retain the authoritative SOP and approvals in QualityDocs and test the handoff instead. If the goal is full retirement, keep the retirement decision blocked until every mandatory row has acceptable evidence. This distinction prevents a useful addition from becoming an accidental, incomplete replacement.
Price the change, then choose the operating arrangement
Ask each supplier to quote the same user roles, document scope, retained history, implementation responsibilities and interfaces. Separate the subscription from migration, internal staff time, training, assurance work, overlap with the old system and continuing archive access. Unknown mandatory work stays an explicit gap, not a zero-cost line.

Choose the arrangement that passes the essential record and workflow requirements and has a credible operating owner. That may be a replacement, a narrower addition or continued use of QualityDocs with a better configuration and support arrangement.
