Which Veeva document-management product are you comparing?

A request for a Veeva Vault DMS can mean two different projects: keeping GxP procedures under control, or preparing regulatory content for a submission. Vault is the platform behind multiple applications. QualityDocs and Submissions share that platform but serve different document workflows. Ask the buyer, implementation team and vendor to name the application and record types before comparing proposals.

Assyro DMS is a regulatory document management system for pharma, biotech and MedTech teams. Its relevant comparison is the controlled-document workflow: versions, reviews, approvals, signatures and the link to submission content. The broader Assyro workflow adds Assyro eCTD for authoring, validation and publishing. Those connected capabilities should be demonstrated and scoped in the proposal.

Veeva QualityDocs

The quality-content application for regulated procedures and related GxP documents. This is the primary product compared on this page.

Veeva Submissions

The regulatory-content application for planning, authoring, reviewing and approving submission documents. Include it when the requirement is regulatory DMS.

Veeva Submissions Publishing

The application for assembling and publishing regulatory submissions. QualityDocs alone is not the complete Veeva submission workflow.

Which one should you choose?

Assyro logo

Choose Assyro DMS if

  • Regulatory owns the project and the immediate need is controlled submission content.
  • You want to evaluate document control together with Assyro eCTD authoring, validation and publishing.
  • Your existing quality system remains responsible for SOPs, training, deviations and CAPA.
  • You want writers, reviewers and consultants included under an unlimited-user plan, with access scoped to their work.
QualityDocs logo

Choose QualityDocs if

  • Quality owns the project and procedures, controlled copies, periodic review and document change control are central requirements.
  • Your organization already uses Vault and wants quality content governed within that platform.
  • You need to evaluate quality documents alongside Veeva Training, QMS or other Quality Cloud applications.
  • You are an emerging biotech and Veeva Basics meets your requirements with standardized configuration and vendor-managed releases.

The detailed comparison

How does an approved document reach a submission?

Assyro logo Assyro DMS

Assyro DMS associates regulatory documents with eCTD sections. Assyro eCTD handles authoring, validation and publishing. In a demonstration, inspect the exact approved revision used in the output, then revise the source and check how the earlier submission remains traceable. A section link alone does not prove that the right revision was filed.

QualityDocs logo QualityDocs

The comparable regulatory workflow is Veeva Submissions plus Veeva Submissions Publishing. Submissions provides content plans, document matching, version control and co-authoring; Publishing assembles the submission. A QualityDocs-only demonstration does not establish the behavior of that regulatory workflow.

[6][7][12][14]

What happens when a quality procedure needs revision?

Assyro logo Assyro DMS

Assyro DMS covers regulatory review and approval. If your requirement includes scheduled procedure review, coordinated effective dates, controlled distribution or retraining, ask for evidence of each behavior. This comparison has not verified equivalent quality-document functions in Assyro DMS.

QualityDocs logo QualityDocs

QualityDocs documents periodic-review workflows and single- or multi-document change control. Its scheduled job identifies documents due for review and can initiate the configured workflow. That is a concrete advantage when QA needs to maintain effective procedures over time, rather than approve a document once.

[3][4]

Can outside consultants review documents safely?

Assyro logo Assyro DMS

Unlimited users removes per-seat pricing from the Assyro plan. It does not remove the need to configure access. Have a consultant review a permitted document, try to open an unrelated program, and attempt approval after their role is revoked. Record the results before adopting the workflow.

QualityDocs logo QualityDocs

Veeva describes controlled collaboration with external parties in QualityDocs. Test the same permission boundaries and ask which external-user arrangements are included in the quote. The useful comparison is what each reviewer can see and do, not simply whether a vendor lists collaboration.

[1][15]

Does AI change the document-management decision?

Assyro logo Assyro DMS

Assyro eCTD provides AI-assisted submission drafting with citations to source documents. Evaluate it as part of the connected authoring workflow. Check whether a cited source supports the statement, whether the writer can correct it, and how the final document enters review. Drafting assistance does not replace document approval.

QualityDocs logo QualityDocs

Veeva offers Vault AI and regulatory agents, so an assumption that Veeva has no AI is outdated. Confirm the specific application, agent, availability and license scope in your proposal. Compare the task you need completed and its review controls; a platform AI announcement is not evidence of a particular QualityDocs authoring workflow.

[2][6][7][12][14]

Three document workflows that change the recommendation

Use a document your team actually maintains to define the evaluation. A general feature list can make two tools look equivalent while leaving the most expensive handoff untested. These examples are evaluation scenarios, not customer case studies or measured outcomes.

A CMC document headed for Module 3

A writer revises a specification, reviewers approve it, and regulatory operations needs the approved revision in a submission. Evaluate Assyro DMS with Assyro eCTD, or Veeva Submissions with Publishing. Inspect the source version and published file together. The useful evidence is a reproducible link from approval to output.

An SOP that changes across a manufacturing team

QA needs review, an effective version, controlled distribution and a way to withdraw superseded copies. QualityDocs is the more directly documented option for this work. If training is required, add the training application to the scope and test what happens when the SOP revision becomes effective.

Quality documents also needed by regulatory

Keep the quality record's ownership clear and define how regulatory obtains the approved content. If two systems hold copies, record the source identifier and revision, the transfer date and the person responsible for reconciliation. A second workspace should not create a second competing authority for the same record.

[2][6][7]

Ease of use, setup and support: test the daily work

Test how a new reviewer finds an approved document, how an administrator manages access, and whether an exported PDF preserves the content your team needs. Apply the same tasks to both products with your own metadata and representative documents. Product familiarity and configuration can affect the result as much as the product name.

Task, time and assistance are useful measurements: record whether the task was completed correctly, elapsed time, help requested and any intervention by the demonstrator. Agree on acceptable results with the people who will use the system. Do not convert a seller-led demonstration into a comparative usability score.

  • Timed document retrieval

    Test both products

[2][3]

Pricing and total cost: compare the same scope

There is no defensible public price winner in this comparison. Assyro publishes a custom pricing model with unlimited users. The reviewed QualityDocs product page contains no list price. Obtain written proposals for the same users, records and workflows before comparing costs. An unlimited-user plan can change how you budget reviewer access; it does not establish a lower total price.

Use a planning horizon that matches your procurement process. For a three-year comparison, add recurring software and support fees, one-time deployment and migration costs, internal validation work, ongoing administration and eventual export costs. Separate vendor charges from internal labor, and show assumptions explicitly. Include Assyro eCTD or Veeva's regulatory applications if publishing is part of the project.

For an emerging biotech, request a Veeva Basics proposal as well as any full-Vault proposal. Veeva describes Basics as pre-configured and pre-validated, with vendor-managed releases and no implementation or maintenance costs. Confirm eligibility, scope and what your team still needs to do. A full-Vault implementation estimate is not evidence of Basics cost or timing.

The downloadable cost model uses eight cost categories for each vendor over three years. Enter your quote and labor assumptions in one currency on the same tax basis. Enter 0 when a cost is included or does not apply, and leave an unknown blank. Each total remains Incomplete until all cost cells are numeric. Avoid counting the same service under both software and support, or the same labor under validation and administration.

Application and access scope

List DMS, publishing, training and quality-event products separately. Include internal authors, approvers, consultants, external partners and read-only access. Ask what is included and which changes trigger a revised quote.

Migration and validation work

Price metadata mapping, historical versions, audit evidence retention, pilot reconciliation and intended-use testing. Identify who performs each task and who approves the result.

Operation and exit

Account for configuration ownership, release assessment, support level, storage and export. Ask for a representative export and its commercial terms before signing.

Part 11 and validation: what evidence should QA request?

For either system, validate the configured workflow for its intended use. Part 11 addresses electronic records and signatures, including system validation, accurate and complete copies, access controls, audit trails, signature manifestations and the link between a signature and its record. Treat a vendor's compliance language as the beginning of an evidence review, rather than the approval itself.

Assyro describes DMS as Part 11-capable. Request the evidence relevant to your document types and configuration. Veeva's documentation confirms signature manifestation and describes how Vault adds signature pages to document renditions. Both vendors should demonstrate the actual signing and export behavior you will use, including how a signature remains associated with the revision that was signed.

Separate software validation from eCTD validation. Software validation addresses whether the system works for its intended use; eCTD validation checks a submission package against technical criteria. Veeva Validation Management is also a distinct application. None of those labels should be treated as interchangeable, and passing an eCTD check does not establish that your document-control process is validated.

Signed-record evidence

Inspect the signer, timestamp and signature meaning, then download the record. Revise the document and verify that the earlier signature remains linked to its original revision.

Access and audit evidence

Test unauthorized edits and approvals, role revocation and a rejected review. Retrieve the event history and check whether the exported evidence lets QA reconstruct what happened.

Release and retention evidence

Ask for the validation package, your acceptance responsibilities, release-impact process, backup and restore evidence, and retrieval of retained records. Review any gaps with QA before production use.

[5][8][11][13]

Run the same document-control test with both vendors

Bring a representative template and a sample document suitable for sharing. Ask each vendor to perform the workflow live and retain the resulting files and event history. Measure observed behavior, record failures and mark unanswered items as unverified. A guided demonstration is a starting point for an evaluation, not a substitute for your validation evidence.

Create, reject and approve

Create a document, send it to review, reject the first revision, correct it and approve the second. Retrieve both versions and confirm which one is approved.

Sign, revise and export

Sign the approved revision, inspect its signature manifestation and export it with available history. Create a later revision and verify the earlier approval and signature stay with the earlier record.

Challenge permissions

Give an external reviewer access to the sample. Try an unrelated record, remove their role and retry an approval. Capture both permitted and denied actions.

Follow the document to its destination

For regulatory content, identify the approved revision in the published submission. For an SOP, demonstrate effective-state handling, periodic review and controlled-copy withdrawal, with training in scope if required.

Reconcile the migration sample

Export a representative source record and import it into the proposed destination. Document what happens to its identifier, versions, metadata, signature evidence, audit history and relationships. Agree on a retention path for anything that cannot transfer.

Download the vendor evaluation worksheet (CSV)

Who should own the evaluation, and what happens next?

Use the same documents and acceptance criteria for both vendors, then assign each unresolved question to a person who can approve the evidence. An approval-workflow demo, a usability task and a written quote answer different questions. Agree on the requirements that would rule a product out before turning observations into a shortlist.

If regulatory document production is the priority, evaluate Assyro DMS with Assyro eCTD and compare the corresponding Veeva regulatory applications. If effective procedures and controlled copies are the priority, keep QualityDocs in the quality-document evaluation. Move from a guided demonstration to an agreed pilot only after the workflow owner and QA accept the scope and evidence plan.

Where QualityDocs is stronger

No tool wins on everything. Here is where QualityDocs is the better choice today.

  • Documented quality-document processes: periodic review and document change control, where equivalent Assyro DMS behavior has not been verified here.
  • Controlled-copy management and configurable signature presentation, supported by product and platform documentation.
  • An established Vault ecosystem for organizations evaluating quality, training and regulatory applications together. Confirm the included applications and connections.
  • Veeva Basics provides an option for emerging biotech. Company size alone is not a reason to rule out Veeva.

Adopting Assyro DMS

Choose between adding a regulatory workspace and replacing an existing document system before planning migration. There is no live Veeva Vault connector in Assyro today. A coexistence pilot uses authorized exports and uploads, with an agreed owner for each controlled record. Do not assume the upload preserves Vault audit history or electronic signatures as native Assyro records.

  1. 1Inventory one program: source files, approved renditions, revisions, metadata, signatures, audit history and submission references. Decide which records remain authoritative in Vault.
  2. 2Approve the export and import mapping with regulatory and QA. Retain original evidence in the source system or an approved archive, and identify anything the destination cannot preserve.
  3. 3Pilot representative regulatory documents. Reconcile file counts, identifiers, versions, permissions and links, and record every exception rather than accepting a successful upload as proof.
  4. 4Demonstrate approval and the publishing handoff on the pilot. Set acceptance criteria for traceability, access and output before moving an active program.
  5. 5Approve cutover, ownership and rollback. Keep required legacy records retrievable, train users, and expand only after QA and the workflow owner accept the evidence.

Product documents establish published scope. Evaluation scenarios and recommendations are Assyro's analysis. Confirm availability, configuration and contract scope with each vendor.
